Caregiver Application

Hi CareSmartz team,

We’ve recently had several caregivers request the ability to view their detailed worked hours directly in the app. Specifically, they would like to see:

  • The exact times they clocked in and clocked out

  • The client name associated with each shift

  • A clear breakdown of hours worked within a biweekly payroll period

After speaking with a Caresmartz representative, we understand that caregivers can currently only view their weekly totals — and only after those hours have been approved.

This creates a few challenges for us:

  1. Our payroll is biweekly, so caregivers must check one approved week, then wait for the next week to be approved, and manually combine the totals to confirm their pay.

  2. Our caregivers are 1099 contractors and many prefer to track their detailed hours independently.

  3. Most payroll software only pulls total hours, not client-level detail, so when caregivers ask for breakdowns, it creates additional manual administrative work for our team.

  4. For caregivers who value transparency and detailed records, weekly totals alone are not sufficient.

From a usability standpoint, if a caregiver has already clocked in and clocked out of a shift, they should be able to view:

  • Date

  • Client

  • Clock-in and clock-out times

  • Total hours for that shift

  • A cumulative total for the selected pay period (ideally biweekly)

Several caregivers have mentioned platforms such as WellSky and Ally that offer this level of visibility. We would strongly prefer to stay with your system rather than switch software, but this feature is becoming increasingly important for retention and operational efficiency.

Is there currently a roadmap for making detailed shift history visible to caregivers regardless of approval status? If so, do you have an estimated timeline?

We would greatly appreciate an update, as this is becoming a recurring request.

Credit Card Fee

Please add the ability to add a credit card fee. For example, under the payer when entering the information, have a checkbox to turn on or off and when you create an invoice it auto-calculates that fee we specify in settings (i.e. 2%). Currently, I have to go through and add an expense, and it looks strange attached to that specific shift on the invoice. I also think it is hard to remember all the time to do and is time consuming. Our other system allowed this feature, and it made it so easy.

Add a new tab under client profile for discharge

It is imperative that key documents for clients can be seen when using the agency app.

We incurred a situation where a client was taken to hospital.  We could not access the key documents from the agency app.  This would be a fantastic improvement and very much needed!

Caregivers NOT having access to client phone numbers

In Agency settings; mobile; caregiver; please give the agency the option to be able to select "allow" caregivers to view the client care plan but NOT view the client contact info. These should be separate. ALL information should be going through the office and not between Caregivers & clients including medical emergencies after calling 911. Our view is that allowing caregivers client contact info is allowing for unhealthy attachments and severely limits proper communication with the agency office.

Custom Profile fields

Please add the ability to create you own custom agency/office specific fields in the Caregiver, Client, Payer, profiles. This could be on a seperate tab in the profiles and include the ability to add standard fields like, Single line text, multi line text, single select and multi select.

Add the ability to better edit Applicant forms. For example, we need to be able to make 5 years of employment history a mandatory section of our applications.

Allow time for caregiver to add notes after their shift ends! Some clients require ongoing observation/care so caregivers can't note as they go. It is not the best use of time having Admins/Business owners getting notes to input, OR having to change time to readjust time so caregiver can make notes.
