Any new requests will be considered by our team to determine their universal benefit to all our customers and then added to the roadmap based on potential impact.

Finding suitable caregiver for a NEW client

There is no way to find caregivers who live close to a potentially new client. I can only do a "Find Caregiver" option for existing clients. Is there anyway for find geographically close caregivers options for a NEW/ Potential client that is NOT in Care Smartz. Sometimes we want to check and see if we have suitable staffing in certain areas before we sign anyone up.

Even if I create a "Prospect Client" in the system, I am still not able to find care givers who live close to the client. I think this will be very important for agencies to quickly find caregivers who live close to a particular address. I can discuss this in details with the Dev Team. Thanks

Would it help to sort your caregivers by ZIP code?  You can do this on the Caregiver search page, by clicking on the column header.  Then, you can see if any caregivers live in the same ZIP code or a nearby ZIP code.


You could also create territories in your portal.  Each territory could represent a group of ZIP codes or a group of suburbs.  You would assign each client  to 1 territory, and your caregivers could be assigned to 1 or more, depending on where they live.

Care Plan available for contacts versus just client

I would like the Care Plan available to contacts. 95% of the time the "contact" is the one hiring an agency and paying the bills. They should be able to look at the Care Plan since they are the ones who probably created it. This would also enable them to make changes as necessary also.

In order to protect the integrity of the data, profile deletion is not allowed at this time. You can however, de-activate the duplicate profile.

Add a custom rate for secondary payer

Would it be possible to create a custom billing rate for secondary payer? Currently, all visits are billed at the same rate for secondary payer as primary payer. But a client with a primary payer with authorization (such as VA authorization) needs to be billed at 1 rate while the secondary payer (typically the client) needs to be billed at a different rate.

Bulk deleting of tasks please.

I would like to request a function be added to scheduling. Specifically having the ability to create something like task templates for scheduled shifts, or have the ability to bulk delete tasks from shifts. Everyone in the state of Idaho has to have specific tasks on a specific bill code. For example, Homemaker code has to have only 5 tasks on it, but when I create a Homemaker shift, all the tasks possible show up and I have to manually delete each excess task, which is about 12 tasks. It is the most time consuming part of scheduling and feels very unnecessary.

Caregiver applications are printable from the Key Documents section in the appropriate Profile. 

As Caresmartz360 is not a payroll program, paystubs are not available. There are a variety of reports available if you need to print caregiver hours.

Family Feedback

Several times the Caregiver forgets to leave a feedback to the family when they are awaiting the feedback. You should allow the Admin/Office to call the Caregiver and have her dictate a note and then the office to send to family.

Bill type to be "Units"

The agency would like to have "Units" as an option to select as bill type. This is for a service such as Non-Medical Transport, where the client is allowed a specific number of Stops or Units each month. The agency would then like to be able to have these units count down against an Authorization.
